We’re Hiring and Looking for an Assistant Property Manager to Join our Team

RealtyLink is continuing to grow and in search of an Assistant Property Manager to join our team! The Assistant Property Manager (“APM”) will report to the Manager of Property Management (“MPM”). The role of the APM will be to assist the Property Managers (“PM”) with administrative and organizational duties which include but are not limited to the following:

  • Assist PM with travel preparations for property visits such as contacting Tenants to notify of the visit, booking hotels and rental cars, updating the Property Visit Tracking sheet.
  • Provide customer service to tenants to assist in resolving any issues or complaints.
  • Assist PM with generating and tracking Work Orders in Yardi.
  • Assist PM with obtaining quotes on repairs or maintenance, hiring applicable contractors and tracking to completion.
  • Correspond with tenants during any repairs or maintenance and confirm when completed.
  • Assist in transferring utilities once we have a tenant in accordance with the applicable lease terms.
  • Assist PM in pulling documentation related to the property when we have entered into a sales contract for a shopping center or a multi-tenant property that we maintain and provide to paralegal prior to closing (upon request).
  • Assist PM with obtaining business licenses for our projects when applicable. Renew every year until sold.
  • To assist MPM with monitoring the Aged Delinquency report for rent, CAM, taxes and insurance payments from tenants. Send out late rent notices and coordinate with Lease Admin and Principal to request default notices or coordinate with Lease
  • Admin, Legal and Principals to pursue eviction or legal action when applicable.
  • Assist PM with generation of annual operating budgets and variance reports.
  • Assist MPM with billing and collection of any Outparcel Contributions, fees associated with REA, Associations dues, HOA, etc.
  • Obtain certificates of insurance on our various projects from our insurance company as requested. Assist with obtaining COI’s from tenants and vendors as needed.
  • Review and save tenant and vendor COI’s received and update the database with policy information. Verify coverage amounts match the Lease requirements and that correct entity is named as insured along with the appropriate lender.
  • Assist PM and Project Managers with the coordination of establishing utilities.
  • Assist PM with reviewing and coding of monthly invoices in Yardi.
  • Taxes:
    • Assist PM with maintaining the property tax spreadsheet for all projects, note the tax amount due, the due date and the penalty date.
    • Assist with sending emails to all Partners to advise the bill has been received the bill and provide summary of amounts and calculations vs previous years.
    • Assist with updating the tax spreadsheet to keep accurate notes of the handling and processing of bills.
    • Assist PM and Partners on any tax appeals.
    • Assist PM and Finance department with billing and collecting Tenant responsible tax payments.
  • Complete any other items as assigned by Manager.

 

Job Requirements

  • Proficient in Microsoft Office:
    • Outlook
    • Word
    • Excel
    • Teams
  • Previous experience working in a property management environment (preferably commercial real estate)
  • Possess a basic understanding of a commercial Lease Agreement
  • Strong ability to multi-task and work in a high-volume environment
  • Strong interpersonal and problem-solving skills
  • Strong organizational and time management skills
  • Excellent communication skills, both verbal and written
  • Ability to learn quickly
